Instructions for preparing and uploading presentations for ISEMPH 2021

All presentations must be 15 minutes or less and must be uploaded by July 1 to the Box folder using the below link: https://baylor.app.box.com/f/dc2a8b151ba243b39b102353c042f8cf

For the 2021 ISEMPH virtual conference, most oral presentations will be pre-recorded, uploaded online, and viewable to conference participants BEFORE the actual live, virtual meeting.

All such selected presentations must be recorded as MP4 files and uploaded onto Box BEFORE JULY 1st .

Please note that all presentations are limited to 15 minutes unless discussed otherwise with your symposium organizer. During the live meeting, you will give a short (two minute) summary of your presentation, which can include up to two PPT slides. Note that the presentation you record now will not be played during the dedicated conference time on July 15th and 16th. Conference participants may view your presentation between July 1st and 14th before the virtual conference begins.

Recommendation: if possible, please update your MS PowerPoint to the most current version.


INSTRUCTIONS FOR RECORDING DIRECTLY WITH POWERPOINT (WINDOWS OR MAC):

1. Open your PowerPoint presentation.

2. Click on the Slide Show tab on the top ribbon.

3. Click on Record Slide Show from your current slide (beginning).

4. Select your preferred camera and microphone using the dropdowns.

5. Start recording:

a. If using Windows, click Record in the top left corner of the “recording studio” that pops up.

b. If using Mac, click the large red, round button. (Older versions of PPT on Mac may not have this button. If this is the case, click Record Slide Show.)

c. There is a three second countdown before recording begins. (If you are using an older version of PPT for Mac, the recording will begin immediately when you hit Record Slide Show.)

6. Stop recording:

a. If using Windows, click Stop when you are finished presenting.

b. If using Mac, click the large red, square button.

c. It is recommended that you do a trial run for a few slides/minutes to make sure that everything is recording the way you want it to. Delete your test run before making your final recording.

7. Exit out of recording and go back to the PowerPoint slides. You can move the location of the video on each slide if you wish. You can also view the video for each individual slide to check timing.

8. On the top ribbon, go to File > Export > Create a Video. Choose the resolution (720p file size is fine). Make sure that “Use Recorded Timings and Narrations” is selected below the resolution option. You can ignore the “Seconds Spent On Each Slide” option. Click Create Video.

9. Save the video as an .MP4 file (default file type) on your computer. If your computer saves the file as an .MOV, please export it as an .MP4 file and save it.

10. Name the file with just your last name (family name/surname).

11. Upload a copy to the Box folder with this link:

IF YOU DO NOT HAVE THE LATEST VERSION OF POWERPOINT AND WISH TO USE ZOOM TO RECORD YOUR PRESENTATION:

1. Open your PowerPoint presentation.

2. Open Zoom and select New Meeting. Turn on audio and video.

3. Share the screen that contains your presentation. If you are using multiple screens, it is easiest to already have your presentation in presenter view so that you know which screen to share.

4. If you have not already started your slide show, do so now. Make sure the box containing the video of yourself is on the screen of your presentation.

5. On the Zoom toolbar, click on More… > Record.

6. When finished with your presentation, click Stop Share (in red) at the top of the screen with the Zoom window.

7. In the Zoom window, click Stop Recording.

8. End the meeting (bottom right corner of Zoom toolbar).

9. Zoom will automatically convert the recording to an .MP4 file. Save it on your computer.

10. Name the file with just your last name (family name/surname).

11. Upload a copy to the Box folder with this link:
